The Estate Manager Workshop

ApartmentAdda conducted a first-of-its-kind gathering of Estate Managers of Gated Communities yesterday – 29-July-2010, 2PM-5PM.

The workshop was designed to provide a platform to discuss challenges, exchange best practices and learn how to leverage software to make their work easier. Networking was the obvious byproduct.

It turned out to be a highly successful workshop, with all participants showing great enthusiasm in excelling in their role, and an eagerness to know more about ApartmentAdda. Many participants wanted such workshops to be conducted frequently and making some as full-day workshop with technical topics.

The organizers were inspired by the healthy turnout with 90% of the registered participants attending this workshop, despite the torrential rains that lashed down on Bangalore! There were some walk-ins as well.

The session started with Mr. Sridar Chari – Admin Head of Palm Meadows and a District Chair Person of Lions International, delivering a highly motivating keynote. His focus was on the role of Estate Manager itself, and how the whole community looks up to this role for support and adherence to the rules & by-laws. He stressed the fact that Management Committee has peace of mind when there is an efficient Estate Manager in-charge of the Association Office, who can hold his ground despite various challenges.

This was followed by a presentation from the ApartmentAdda team, on the discipline of Estate Management and the Focus Areas of an Estate Manager - Complaint Management, Vendor Management, Asset Management, Financials Management and interfacing external parties such as Govt. Officials and Banks. After this presentation, the ApartmentAdda anchor grouped the participants into 4 teams. Each team could take a focus area and present a 5 minute case-study.

The hall buzzed with enthusiastic discussions, with networking and a high-tea.

The presentations started with the first one being on Asset Management – specifically understanding the STP – Sewage Treatment Plant. It was agreed by all that the STP while being the most-utilized common Asset in a Gated Community, also becomes the most maintenance intensive when not understood properly or not installed correctly. Mr. Sreedhara from Salarpuria properties explained with a diagram how an STP works and clarified subsequent questions from the audience. He also offered his help in case any of the participants needed in future.

Other three presentations were on Complaint Management, Experiences of a new Estate Manager and liabilities of an Estate Manager.

All presentations were throughly interactive with the participants chipping in their inputs in a very constructive manner.

This was followed by a walkthrough of ApartmentAdda, participants were most interested in Online Complaint Management, Preventive Maintenance Tracking and Financials Tracking.

The focus of this workshop was Online Complaint Management – ApartmentAdda’s COMPLAINT TRACKER. The ApartmentAdda Product Manager walked the audience through the COMPLAINT TRACKER and the reasons why it is important that all Complaints be logged in one place, no matter from which sources they originate. The audience also stressed that it is important to get acknowledgement from the Complainant whenever a Complaint is closed. This is the functionality met by the Feedback loop triggered by ApartmentAdda’s COMPLAINT TRACKER. and track them to closure. Escalating complaints which the Estate Manager has no authority to work upon was also discussed.

A short overview of the ASSET TRACKER was provided. There were interest from the Audience about the online Billing and Collection management – the INCOME TRACKER, which has been agreed to be part of the next Workshop.

Overall, all of us took back a very wholesome 3 hour experience of learning from each other. Everyone agreed that we need to have such workshops with longer duration and more of ApartmentAdda can be covered.

The ApartmentAdda team wishes to sincerely thank the Management Committees who signed up their Estate Managers, and the Keynote Speaker and all the Managers who made the workshop such a success!

Last but not the least, the ApartmentAdda team feels proud for conducting this workshop most professionally and getting such overwhelming response and request for further workshops!

South City Kolkata – a 31 Acre mini township becomes the 200th registered-and-activated* Adda!  Southcity

South City is located right in the heart of Kolkata – on Prince Anwar Shah road, and boasts of the tallest residential structure (35+1 storeys) in Eastern india (as of date).

We welcome this residential landmark of Eastern India to ApartmentAdda.

Aside: You bet this is one Adda where there will be complete unanimity regarding the meaning of “Adda” :)

*While many Addas register, ApartmentAdda activates them only after due validation

Proof of the Pudding..

..is in its eating. And the proof of a Subscription Model is in its Renewal!

The first Premium Customer of ApartmentAdda just completed 1 year of successful operation and renewed.

Two of us went to collect the payment last evening ( it’s a hop from our Office). We were handed the Cheque, and given the Voucher to sign on. Regular paperwork, but were we ECSTATIC!

The voucher was printed right from ApartmentAdda, from the Expense Tracker application being fully utilized by the Estate Manager!

We took a picture of it with a cellphone camera.. A poor picture, but oh the value!

Demo Adda

party20091

One of the most rewarding experiences of the ApartmentAdda team is a customer Demo. Presenting the portal     to the customer, seeing their delight at finally finding an answer to their problems, are the best hours in the workweek! The typical demos are on weekends and we promise people the Demo will be fun – and boy! are they fun! Below are a few quotes from these demos – stuff that keeps the “Adda” spirit alive and a kickin’!

I am thinking so hard to find a feature you guys don’t have..

Can you make the email to maintenance-fee defaulters pop out a hand from the screen and punch them- POWW!?

We gave up on our spreadsheets and almost started creating our own software, thank God we found you!

Complaint Box?? Can you disable it – my residents will flood it!
From the facility manager, true to his expectation, within 10 minutes of his Adda being activated, there were 6 complaints lodged! However, he now takes pride in keeping his complaint inbox empty.

It is the BANGLA ‘Aadda’, not your UP ka ‘Addaa’
One MC member (presumably Bengali) to the other, while taking their guess on the meaning of Adda

Wow! Who wrote the requirements?!

Rs.100 per flat..Okay… And..?

When I heard the name Adda, I thought oh another fun’n'frolick site.. but then i saw the features and realized it was a full-fledged application!

Anna, look there’s your sheet..! Take it and hug it!
An MC member to the treasurer – on seeing the color-coded budget page.

Your words – our inspiration.

Last week Apartment Adda received an overwhelming testimonial from Mr. Anil Joseph – the Treasurer of Oasis Breeze (treasurer for two continuous terms). We want to share this reward with our blog readers:

Taking charge of the Association to manage the affairs of 165 flats seemed a daunting task. The introduction of Apartment Adda to serve as a communication medium initially, is today the lifeline of the Association. Adda is an extremely user friendly, efficient and amazing portal which makes management of the Association effortless. The Executive Committee at Oasis Breeze Apartment Association is indebted to the ApartmentAdda team for their valuable contribution through this tool. We hope every Apartment Association makes use of this wonder portal to manage their Associations better. The Alert section, Online Dashboard, Notice Board and most importantly the SMS alert facility for maintenance fee dues and other communication are just amazing features.

New features and Oasis Breeze goes live!

Apartment Adda is a month old now! It is hardly a milestone when we compare ourselves against business giants who have seen centuries go past while they strive incessantly to serve their customers.. But then, you cannot blame the first-time-parents of a newborn for cutting a cake for every month that their baby survives and grows.. :)

So, what did Apartment Adda do in the past month. We added new features (the Adda Profile, Batch upload of residents database, Apartment Complex Income and Expense trackers and an improvised Poll), we demonstrated Apartment Adda to interested Association committees and spoke to many apartment residents who are excited about using Apartment Adda.

Oasis Breeze, our founding Adda, went live a few weeks back. It also happens to be our home and a neighbourhood full of enthusiasm and life. Of a total of 165 flats, 163 residents are already online on the Oasis Breeze Adda. We, at Apartment Adda, wish Oasis Breeze all the best with building a great neighbourhood together!

That’s all from us as of now.. As always, do write in!
