Late Payment Interest – Flat Penalty

To charge penalty for Late Payment of Maintenance charges, the Best Practice followed in most Apartment/Villa complexes, is to charge an Annual Simple Interest, calculated by the Day.

However, many Associations have established a Flat Penalty amount – e.g., Rs.500 per month of default, mainly because it is easy to calculate, in absence of an automated system like ApartmentADDA. Even though these Associations have moved to ApartmentADDA, some of them require to continue Flat Penalty for some time. To meet this requirement, now the Flat Penalty option is also available in your ADDA.

We also learnt that some large complexes follow a system of Flat Penalty + the Annual Simple Interest calculated by the Day.  This one’s quite “Interest”ing as it penalizes the Defaulter for missing the Due date with a flat penalty and then starts accruing the Interest! Also available as an option in your ADDA.

Online Facility Booking upgraded

Two important upgrades have been provided to the Facility Booking Application:

1. Slot-wise Booking – As of now the Facility Booking Add-On had the functionality of Hour-wise Rates and Bookings.

Now it also has Slot-wise Rates and Bookings. This means you can have a Morning Slot of 4 hours, at a certain rate, an Evening slot of 5 hours at a different rate, and so on. Residents can choose their Slot (s) and make the Booking.

2. Booking without Payment – In the existing workflow, when a Resident made a Booking, an Invoice used to get posted. Only after entry of Payment against this Booking, the Booking used to get hard-booked. Now, we realize there are scenarios when you are sitting on the late-night flight and realize your little girl’s birthday is tomorrow, and you absolutely need that Party Hall of your Society booked. For such scenarios you can request your ADDA Admin to confirm your booking, with a promise to pay the Invoice later, along with your Maintenance Fee Invoice. The Admin can then use the “Book without Payment” button!

You could eat another piece of the Birthday Cake on behalf of the ApartmentADDA Team :D

Important Announcement on SMS

Dear ADDA Users,

Telecom Regulatory Authority of India (TRAI) is enforcing a new regulation starting Sep 27th, 2011 ( Tuesday ).

1. SMS will not be sent to numbers registered in NCCPR.

2. SMS cannot be sent between 9 PM to 9 AM.

How this will affect you?

a. SMS cannot be triggered between 9 PM and 9 AM. Please do not send any SMS broadcasts / Due Reminder SMS during this period. We will queue any SMS that is triggered from your ADDA in this slot – and will deliver them all after 9 AM the next day.

b. The Helpdesk Ticket escalation checkpoint will be moved from 9 AM to 9:30 AM.

c. Please send an SMS “STOP 0″ to 1909 from the mobile Number, this will enable the Mobile Number to start receiving SMS from  your ADDA again.  You will receive an SMS in response with an instruction to confirm. Please respond with an SMS “STOP <code that you get> 0 “.

Elevator Safety for Apartment Residents

In modern day construction, almost every Residential Apartment Complex that is higher than 2 floors from the ground, has atleast one Passenger Elevator.

To ensure that Elevator related injuries or mishaps don’t happen, Residents of Apartment Complexes can follow some best practices for Elevator Usage.  It is extremely important to educate small children about elevator usage, as many a times they may go out to play unsupervised.

Safe Elevator Usage

1. When the Elevator door is closing, stand clear of them. While it is tempting to stop the door manually to let someone get inside, avoid this.  Elevator doors have photoelectric sensors, so they stop the door closing whenever an object gets between. But sensors aren’t always reliable and are prone to malfunction. Also, in some cases the sensors are only located near the center of the elevator door , so using a leg to stop an elevator could be a bad idea.

2.  Due to power failure or other reasons, if the elevator stops in between floors, DO NOT exit the elevator.  When the elevator door opens in between floors, the elevator shaft is exposed. So a climb out could make the passenger accidentally fall down the elevator shaft.  Call for help to make the Elevator level with the floor, then exit.

3. In case of a Fire, do not use the Elevator, use the Fire Drill.

4. Even if you live in a highrise Apartment Building and always take the Elevator, take the Staircases on the way down once in a while. This can help detect problems (broken railings, slippery steps etc.), and you could catch up on the beautiful main door decorations of your neighbors :) .

What to do if there is a power failure and you are trapped in the Elevator

1. Press the Door Open Button.

2. If the doors do not open, do not panic, you are safe. This is a safety measure of the Elevator when power failure occurs -  brakes are automatically applied, including those on the Doors.

3. Stay calm. Elevators are not airtight, and there is enough air in the Elevator as well as the shaftway.

4. Use the Alarm Button, Help Button, or Emergency Phone connection inside.  Clearly convey which Block and Elevator you are inside, to the other party.

5. If the Emergency Phone does not work, don’t panic. Some phones are designed only to receive calls. So the maintenance personnel of your Housing Society can call you when they arrive at the Building.

6. After you have done everything to communicate that you are trapped, the best course of action is to relax and wait. Think of it like an annoying Traffic Jam.

7. Once the doors do open, double check that the elevator is level with the floor, then exit.

Estate Manager Workshop- III

Date: 16-Sep-2011. Venue: ezone Club, Bangalore. A group of 74 highly talented Estate Managers get together on a day full of Intellectual Exchange (also called “Adda” in Bengali : ) ) related to Facility Management.

The first half of the workshop started with a Meet ‘n’ Greet and Welcome Address from Venkat Kandaswamy – CTO of ApartmentADDA, who presented the role of ApartmentADDA as an enabler in the Ecosystem of Facility Management. This was followed by an introduction to ApartmentADDA and a thorough training on the Communication Tools of ApartmentADDA. The next training session on the HelpDesk application of ApartmentADDA saw some robust discussion regarding best practices in handling of Complaints, logging them, and deriving intelligence from the data related to Complaints.

After this session, a guest lecture from Dr. Pradeep of ISS HiCare on the topic ‘Termites – the Silent Invaders‘ was well received by the Audience with many related knowledge sharing on pest control (e.g., Removal of Bee-Hives, Pigeon infestation etc.)

After the sumptuous lunch, one would expect the enthusiastic group to have picked up some slack. Quite to the contrary, the most interactive session was experienced where 4 teams presented “Methodical Problem Solving Approach” based on 4 practical emergencis. From the first team, Mr. Srinivasan, Estate Manager of Salarpuria Serenity presented Resolution Approach for the scenario – Basement Car-Park flooded by Sewage Tank overflow. The 2nd team, led by Mr. Viond, Estate Manager of Purva Fountainsquare had a tough deal – A lone elderly person suffers a heart attack. The 3rd team had to present on the scenario – Child of 6 years trapped alone in an Elevator. The final topic – Fire on the 15th floor of a 20 floor building – originated from kitchen, was presented by Mr. Nadgouda of Brigade Gateway.  The presentation method was to first list the top 3 problems that will faced due to this scenario, and then list the Problem Resolution Approach exactly in 5 steps, in sequential order.

The quality of technical discussion that followed each topic was simply awesome. E.g., for the third topic – child trapped in Elevator, discussion covered the latest technology for Elevator safety as well as what is the manual alternative in case the automation fails. In case of the topic related to Lone Elderly person suffering heart attack, discussions happened regarding the value of a good Member Database for such emergency situations.

The Audience voted Team 2 as the winner! Mr. Vinod and rest of the 11 members were presented the prizes.

The next session – on Accounting, covered the basics of Society Accounting, and then dealt with the full training of ApartmentADDA’s Society Accounting modules. Lively discussions happened around Audit Logs, Ease of Transaction Entry and availability of the Dues information to the Estate Manager.

Moments - EMW III

The final session – on Asset Maintenance, started with the training on ApartmentADDA‘s Asset Tracker, and concluded with sharing of best practices regarding Regulations related to Assets such as Transformer (the discussion was around, who owns the Transformer – BESCOM, or the society, who is responsible for replacement of burnt feeders..), STP, and the Generator.

Then came the most awaited session – announcement of Top 3 Estate Managers – as recognized by their Management Committee. Mr. Raja from Purva Riviera, Mr. Siddanna from Adarsh Residency and Mr. Vinod from Purva FountainSquare were presented the certificates, with wide appreciation from Estate Managers present.

The workshop then concluded with Photo Sessions, where many Estate Managers wanted to take back the memories of this fun & knowledge filled day!
