Estate Manager Workshop- III

Date: 16-Sep-2011. Venue: ezone Club, Bangalore. A group of 74 highly talented Estate Managers get together on a day full of Intellectual Exchange (also called “Adda” in Bengali : ) ) related to Facility Management.

The first half of the workshop started with a Meet ‘n’ Greet and Welcome Address from Venkat Kandaswamy – CTO of ApartmentADDA, who presented the role of ApartmentADDA as an enabler in the Ecosystem of Facility Management. This was followed by an introduction to ApartmentADDA and a thorough training on the Communication Tools of ApartmentADDA. The next training session on the HelpDesk application of ApartmentADDA saw some robust discussion regarding best practices in handling of Complaints, logging them, and deriving intelligence from the data related to Complaints.

After this session, a guest lecture from Dr. Pradeep of ISS HiCare on the topic ‘Termites – the Silent Invaders‘ was well received by the Audience with many related knowledge sharing on pest control (e.g., Removal of Bee-Hives, Pigeon infestation etc.)

After the sumptuous lunch, one would expect the enthusiastic group to have picked up some slack. Quite to the contrary, the most interactive session was experienced where 4 teams presented “Methodical Problem Solving Approach” based on 4 practical emergencis. From the first team, Mr. Srinivasan, Estate Manager of Salarpuria Serenity presented Resolution Approach for the scenario – Basement Car-Park flooded by Sewage Tank overflow. The 2nd team, led by Mr. Viond, Estate Manager of Purva Fountainsquare had a tough deal – A lone elderly person suffers a heart attack. The 3rd team had to present on the scenario – Child of 6 years trapped alone in an Elevator. The final topic – Fire on the 15th floor of a 20 floor building – originated from kitchen, was presented by Mr. Nadgouda of Brigade Gateway.  The presentation method was to first list the top 3 problems that will faced due to this scenario, and then list the Problem Resolution Approach exactly in 5 steps, in sequential order.

The quality of technical discussion that followed each topic was simply awesome. E.g., for the third topic – child trapped in Elevator, discussion covered the latest technology for Elevator safety as well as what is the manual alternative in case the automation fails. In case of the topic related to Lone Elderly person suffering heart attack, discussions happened regarding the value of a good Member Database for such emergency situations.

The Audience voted Team 2 as the winner! Mr. Vinod and rest of the 11 members were presented the prizes.

The next session – on Accounting, covered the basics of Society Accounting, and then dealt with the full training of ApartmentADDA’s Society Accounting modules. Lively discussions happened around Audit Logs, Ease of Transaction Entry and availability of the Dues information to the Estate Manager.

The final session – on Asset Maintenance, started with the training on ApartmentADDA‘s Asset Tracker, and concluded with sharing of best practices regarding Regulations related to Assets such as Transformer (the discussion was around, who owns the Transformer – BESCOM, or the society, who is responsible for replacement of burnt feeders..), STP, and the Generator.

Then came the most awaited session – announcement of Top 3 Estate Managers – as recognized by their Management Committee. Mr. Raja from Purva Riviera, Mr. Siddanna from Adarsh Residency and Mr. Vinod from Purva FountainSquare were presented the certificates, with wide appreciation from Estate Managers present.

The workshop then concluded with Photo Sessions, where many Estate Managers wanted to take back the memories of this fun & knowledge filled day!

Reticulated / Piped Gas system in Apartments

Piped cooking gas supply to Apartments is one of the latest value-additions being offered by builders. This centralized distribution system supplies gas to each and every Kitchen through a network of safe piping and is becoming an increasingly popular alternative to the conventional LPG cylinder in every kitchen. The rigors of getting a refill are totally eliminated and the consumer ‘pays for what he uses’.

What is a Reticulated Gas System?

In Apartment Complexes in India, the Reticulated Gas System, consists of a Gas Bank with common delivery line (s). Below are the highlights:

  • Gas Storage Facility in a common area with a number of cylinders connected to common delivery lines.
  • The Pipe Line Systems are installed with pressure regulation and safety devices.
  • The control valves, regulator and Burner are placed in the kitchen.
  • Continuous supply of gas at the turn of a tap.
  • Eliminates cylinder refill booking, and scheduling the delivery.
  • No cylinder handling. Avoids damage to floor / lift.
  • Easy & effortless operation with increased convenience.
  • Increased safety in kitchen as the pressure of LPG in pipeline is much lower than an LPG cylinder.
  • Space required to store two cylinders is saved. The saved space can be put to much better use.
  • Payment as per actual consumption of gas through meter in following month.
  • Trappings can be provided for LPG Geysers / LPG fireplaces and air convectors for cold places / LPG lanterns / LPG Gensets.

Maintenance of  a Reticulated Gas system

  • Gas Bank must  have  Good Ventilation
  • Avoid wiring for lighting  inside the Gas Bank
  • Bottom  Portion of the Room Ventilation with Brass Mesh Only
  • Don’t allow the mobile inside the gas bank
  • Check inlet and outlet near the meter frequently.
  • Check  all the joints inside the flats and Other major joints with Soap oil as and when Required
  • Frequently Check For Auto Changeover

Estate Manager Workshop II concludes

Nov-18-2010. Around 45 Estate Managers gathered in Brookefields, from various Residential complexes in Bangalore, with various professional experiences, some independent, some with Property Maintenance agencies, some planning to start their own Facility Management service. The common thread between them- All eager to learn and grow in their field.

Networking starts

The workshop started with keynote by Venkat – CoFounder & CTO of ApartmentAdda. He established the analogy between Estate Managers and IAS officers, Kapil Dev and LifeSavers (not the candy!) He brought out the fact that Estate Managers are one of the most important Roles in any Residential Complex and it is important that they gain expertise in Facility Management and relevant Technologies.

The next session started with Sangeeta presenting the Financial Transactions in a typical Multi-Dwelling Unit (MDU), the pain points around these transactions and how ApartmentAdda is completely tailored to address these pain-points. The Income Tracker was demonstrated with page by page and button by button explanation. There was a view expressed in the Audience that while software packages like Tally do Accounting well, ApartmentAdda does the job of Accounting – for – MDUs well.

After a quick Coffee Break, Subbu from CitizenMatters took the stage with the topic that’s picking up steam – Karnataka Laws and Gated Communities. The discussion went into ‘Are Gated Communities Legal’. This started with presenting the facts and findings, and provided the takeaway to Estate Managers on the summary of the situation. The summary was that, it was clear that Apartment Complexes are recognized by Law, thanks to the KAOA, however, Gated Layouts had the confusion about ownership of the common area. The recommendation was that every Association must have in its Association Office: the Plan Sanction Document, and the CDP Map of the zone in which the Property is situated – this shows what is the ownership type of the area (public, private etc.). The Estate Managers may also make themselves conversant with the Karnataka Town and Country Planning Act 1961.

Gated Layouts and Gated Apartment complexes get differentiated

This session was followed by a presentation by Mr.Sreedhara – Estate Manager for Salarpuria Serenity and Salarpuria Symphony. He presented an overall view of Facility Management – which touched all aspects of  maintaining Electrical, Plumbing, Security, Housekeeping, STP, Swimming Pool, Landscaping, Clubhouse& Gym, CCTV, Reticulated Gas System, WTP, Waste, Fire Safety systems.

Facility Management - Learning from Peers!

Taking over from him, Dr.Ananth of EcoTech presented an Expert Talk on STPs that Work. Dr.Ananth highlighted that due to water scarcity, the STP is seen more as a Production Unit and not a Treatment Unit. His view was that most STPs in Residential Complexes are either not working at all or working at very low efficiencies. An interesting fact shown by him was that the cost of water tanker for 1 Kilo Litre is Rs.55, while the treatment cost of 100Kilo Litre water is Rs.18 per day!

The Workshop then got intense on the Purchase – to – Pay cycle of a Residential Complex. The automated Purchase Request process was appreciated by the Estate Managers, followed by finding the right vendor, documenting the Vendor Invoices, and documenting the information in ApartmentAdda was demonstrated. The various reports of Budget Variance, Expense comparison pie charts were shown and how to publish these reports to the Residents was also demonstrated.

Interactive Participants

The discussion then went to the interesting topic of – How to Recover Dues from chronic Defaulters. The best practices being followed at the participants’ complexes were shared and some brainstorming was performed. The conclusion was that the Law has to help Associations in this regard by being more specific. The Socieites Act and the Karnataka Apartment Owners Act were discussed briefly.

The final session of felicitations, and distribution of Participation Certificates ended with Photoshoots of the group. Most participants stayed on for a networking High Tea with some one-on-sessions with the ApartmentAdda Experts group.

The Estate Manager Workshop

ApartmentAdda conducted a first-of-its-kind gathering of Estate Managers of Gated Communities yesterday – 29-July-2010, 2PM-5PM.

The workshop was designed to provide a platform to discuss challenges, exchange best practices and learn how to leverage software to make their work easier. Networking was the obvious byproduct.

It turned out to be a highly successful workshop, with all participants showing great enthusiasm in excelling in their role, and an eagerness to know more about ApartmentAdda. Many participants wanted such workshops to be conducted frequently and making some as full-day workshop with technical topics.

The organizers were inspired by the healthy turnout with 90% of the registered participants attending this workshop, despite the torrential rains that lashed down on Bangalore! There were some walk-ins as well.

The session started with Mr. Sridar Chari – Admin Head of Palm Meadows and a District Chair Person of Lions International, delivering a highly motivating keynote. His focus was on the role of Estate Manager itself, and how the whole community looks up to this role for support and adherence to the rules & by-laws. He stressed the fact that Management Committee has peace of mind when there is an efficient Estate Manager in-charge of the Association Office, who can hold his ground despite various challenges.

This was followed by a presentation from the ApartmentAdda team, on the discipline of Estate Management and the Focus Areas of an Estate Manager - Complaint Management, Vendor Management, Asset Management, Financials Management and interfacing external parties such as Govt. Officials and Banks.After this presentation, the ApartmentAdda anchor grouped the participants into 4 teams. Each team could take a focus area and present a 5 minute case-study.

The presentations started with the first one being on Asset Management – specifically understanding the STP – Sewage Treatment Plant. It was agreed by all that the STP while being the most-utilized common Asset in a Gated Community, also becomes the most maintenance intensive when not understood properly or not installed correctly. Mr. Sreedhara from Salarpuria properties explained with a diagram how an STP works and clarified subsequent questions from the audience. He also offered his help in case any of the participants needed in future.

Other three presentations were on Complaint Management, Experiences of a new Estate Manager and liabilities of an Estate Manager.

All presentations were throughly interactive with the participants chipping in their inputs in a very constructive manner.

This was followed by a walkthrough of ApartmentAdda, participants were most interested in Online Complaint Management, Preventive Maintenance Tracking and Financials Tracking.

The focus of this workshop was Online Complaint Management – ApartmentAdda’s COMPLAINT TRACKER. The ApartmentAdda Product Manager walked the audience through the COMPLAINT TRACKER and the reasons why it is important that all Complaints be logged in one place, no matter from which sources they originate. The audience also stressed that it is important to get acknowledgement from the Complainant whenever a Complaint is closed. This is the functionality met by the Feedback loop triggered by ApartmentAdda’s COMPLAINT TRACKER. and track them to closure. Escalating complaints which the Estate Manager has no authority to work upon was also discussed.

A short overview of the ASSET TRACKER was provided. There were interest from the Audience about the online Billing and Collection management – the INCOME TRACKER, which has been agreed to be part of the next Workshop.

Overall, all of us took back a very wholesome 3 hour experience of learning from each other. Everyone agreed that we need to have such workshops with longer duration and more of ApartmentAdda can be covered.
