Raise-a-ticket-by-SMS!

Yes! Raise a little hell! Raise a ticket by SMS! :)

Imagine this. You are driving into the basement after a tiring workday and you notice an exposed cable come loose from the ceiling. Would you remember to lodge this complaint after getting home and logging into you computer?

Now you don’t have to!

While walking to the elevator, take your Cellphone and send SMS to a dedicated number! Your complaint will be lodged into your ADDA, and you will receive the Ticket number!

On the Admin side, the same process will be triggered as if the Complaint was lodged by logging into your ADDA.

Now you need not ignore any little gap in your beautiful home, just SMS!

Other useful uses:

1. Senior citizens who may not be connected to Internet often, can lodge a ticket without having to depend on anyone.

2. Your Estate Manager / Security Supervisor can record each incident easily while on regular rounds.

To know the dedicated number of your ADDA, please log in to your ADDA, the number is right on the “HelpDesk” widget on Resident’s Dashboard*.  You could also send out an Admin Notice/SMS Broadcast/Physical Notice on your Notice Board, informing all Residents of this Number.

Yes, the HelpDesk now has a new feature – Attachment. You can attach a picture or a document while raising a Ticket, or updating a Ticket.

Same feature is available on the HelpDesk Tracker also so Admin can attach Before and After pictures of a Fault, or attach a bill for any repair work done for a Flat.

Great News – Essential SMS Reach All

Dear ADDA Admins,

In September 2011, a TRAI regulation had crippled the SMS Delivery Feature of many Web Portals. According to this regulation, SMS from most Portals could reach only to Mobile Numbers NOT listed in the Do Not Call Registry. And SMS could go only between 9AM to 9PM. This had proved to be a major handicap for Management Committees such as yourself, who could not send out urgent SMS to ALL, and at times when urgency occurs (e.g., both Transformer & DG gone bust at 1′oclock in the night, u have no way to inform ppl of what to expect)

We have been working closely with TRAI and fellow firms at NASSCOM to find a compliant workaround.

Happy to inform that finally a workaround has been achieved, and right from today, your ADDA is capable of sending “Essential SMS” to ALL Residents, even if their number is listed in the Do Not Call Registry. AND you can send these Essential SMS at any hour (of course, you know best when not to disturb your addazens!).

No more nagging appeals to your Members to de-register from the Do Not Call Registry, in order to get your ADDA SMS!

Log in to the Admin Dashboard > Manage Users > Broadcast right away, and check it out.

Automatic Service Tax Credits and Tax Certificate

Dear ADDA Treasurers,

You need not ‘Tax’ your brain anymore to calculate Service Tax Credits or Generate Tax Certificates for Vendors. This is automated in your ADDA now!

Check it out here: Admin’s Dashboard > Bank & Cash > TDS & Service Tax. You can find all the Tax Components in one place.

Service Tax Credits

Here is the workflow for the Service Tax Part.

a. Output Service Tax Suspense

Whenever an invoice is posted in Member Income, the service tax component is posted against this account.

b. Input Service Tax Suspense

Whenever a vendor invoice is posted, the Service Tax component is posted to this account.

c. Service Tax

When payment is made to Vendor or collection is received, an automatic entry is posted under Service Tax. The net balance on this account forms the Service Tax Credit.

Periodically the Society has to remit the net balance on this account and post it in the ADDA.

TDS

All the TDS entries that were deducted from the vendor payments are now shown under the TDS Tab.

When TDS is remitted to the Government, the entries are to be captured in the following screen and these will appear in the Form 16 report.

Important Note : We have already migrated all your transactions to the respective Account Heads. Please review them and get in touch with us for any clarifications.

Move In/Out Tracker launched!

The common aim of every Gated Community: Establish a robust Move-In, Move-Out Process.

Challenges in achieving this aim

  1. Arriving at a streamlined best-practice process that serves the purpose, without being an overkill.
  2. Enforcing the process uniformly in the Society Office and monitoring the same.

Move In/Out Tracker

A new Add-On Move-In/Out Tracker is now available in your ADDA, which lets you Customize a Move-In form for your Society.   After this the Move-In process becomes an Automated Workflow! The form is sent automatically to every new Registrant. The system then guides both parties – the New Registrant and the Admin with the next steps, till approval!

A bouqet of Advanced Fields, contributed by long-running Associations with strict Move-In/Out processes, are available to you while customizing the Move-In Form.  You can choose which of these fields you want to be part of your Move-In Form.  You can also provide custom Instructions – E.g., Truck to be brought in before 7PM, or Service Lift to be utilized for moving Furniture, etc.

Benefits

Clear Process, with most of the activities done as Self Service by the person moving in. Significant savings in cost & effort for Admin Staff.

  1. When a new Tenant is moving in, the Owner instructs him: Just Register on our ADDA and you will be guided through.
  2. The Tenant Registers, receives the Move-In form right in his Email Inbox, fills and saves.
  3. The Filled Form becomes available to Admin, who reviews the form and does the Approval.
  4. Since the time of the Office Staff is saved, they have used the time to assemble the Welcome Kit with a Bottle of Champagne and a Bunch of Flowers :)

It was a buzzar exclusively for Associations. All Classifieds in Buzzar are from genuine Home Owners/Tenants, living in High-End Housing Societies. Pick the phone and talk to the person offering that Tattoo deal, good chances you’ll be talking to a respectable hippie who works for JP Morgan. :)   On a more serious note, it lets you a) Get a great deal without a Broker  b) grab that 3D HDTV being offered by Rahul as he has to relocate to US.. tomorrow!

Complaints prioritized by Payment status

Dear ADDA Admins,

Flats who pay their Dues on Time, and keep a Zero-Dues account, deserve Maintenance Requests/Complaints to be addressed on a Priority Basis. That is Fair, isn’t it.

But till date, you did not have a quick way to figure out, if a Flat that has raised a complaint has Dues or not.

Now you do.

The pretty Red Dots and Green Dots in your Income Tracker have crept into the HelpDesk Tracker as well! Click “View All” in your HelpDesk Tracker, and you will see a Red Dot or a Green Dot next to each Complaint. Red Dot means the Flat has not paid their Dues yet.  Also when the Ticket is viewed, the exact Due amount is visible against the Flat.

Who said there is no justice in this Country!

LIVE view of Late Payment Interest

When  you view the Account Statement of the Resident, you will be able to view the Late Payment Interest Accrued since the last Invoice posted.  The Resident can also view the LIVE Interest calculation on his Account Statement. This provides a complete picture of the total Payable as of Date, in case any Resident wants to make complete payment including Interest accrued, which would otherwise be known to him only by the next Invoice Date.

Late Payment Interest – Flat Penalty

To charge penalty for Late Payment of Maintenance charges, the Best Practice followed in most Apartment/Villa complexes, is to charge an Annual Simple Interest, calculated by the Day.

However, many Associations have established a Flat Penalty amount – e.g., Rs.500 per month of default, mainly because it is easy to calculate, in absence of an automated system like ApartmentADDA. Even though these Associations have moved to ApartmentADDA, some of them require to continue Flat Penalty for some time. To meet this requirement, now the Flat Penalty option is also available in your ADDA.

We also learnt that some large complexes follow a system of Flat Penalty + the Annual Simple Interest calculated by the Day.  This one’s quite “Interest”ing as it penalizes the Defaulter for missing the Due date with a flat penalty and then starts accruing the Interest! Also available as an option in your ADDA.
